At the end of semester you can copy your data folder (AccuData) and rename the copy something like "Fall2003". This would be your fall semester backup. You can now delete the data (selectively or all) via AccuTrack if you like. If in the future you need a report from the 2003 data files, you can change the database path to use the "Fall2003" folder to generate the report.

To change the path, click on the "Database" button in System Administration and then click on "Database Location". You will see the current data path in the text box. Make a note of this as you will need to know it when you switch back the data path. Use the Browse button to select the "Fall2003" folder and click on "save" and restart AccuTrack. You will be now using that folder and you can run your report. Just remember to switch the path back to the appropriate data folder when finished.
