Any options to generate "Student Referrals"?

Hi,

We have purchased AccuTrack 14 and will be coming to Orlando for training this week. We are very excited to receive this update since we are using 10 now.

 

My question is this: Are there any options in the new software to generate "Student Referrals"? We are required by the state to get a referral (basically, permission from the instructor) that allows the student to receive tutoring. Currently, we have to manually send out an email to the instructor when a student visits for the first time and keep track which ones we received back. Once we receive the "Yes" reply from the instructor, the student is set for that class for the entire semester. We do have to have a referral for each "section" they receive tutoring (ex. Math, English....). Is there any way that AccuTrack can automatically send out these referrals for us on a student's first visit to the center(s)?

Hi Tena!

 

At this time "Student Referrals" is not a module in AccuTrack or AccuSQL 2014.  Our cloud-based center attendance tracking system Accudemia does offer a section called AREASTM  (Academic Referrals & Early Alerts) at this time.  This is a great idea for the Accu UserVoice website (http://accu.uservoice.com) where you can make suggested improvements for the next version (AccuTrack/AccuSQL 2015).  It is a great way for the programmers to keep track of the ideas and with a built-in voting system they can easily see what people want most.  Simply sign-up to that website using your .edu e-mail address to get started.

 

With that said we do have a couple options for you to try:

  1. "Schedule this Report" to run daily or weekly showing students first visits based on each class individually.
    (Under Visits Reports Visitor History and New Visitors look like good reports)
  2. Set AccuTrack/AccuSQL 2014 to send daily/weekly visits reports to each instructor using Activity Screen Options > Set Instructor Report Option.

How to "Schedule a Report" to run daily or weekly showing students first visits based on each class individually.

  1. From the System Admin screen go to the Students Visits Tracking module and click Reports.
  2. Run the reports to choose which report you like best to schedule. (Visitor History and New Visitors look like good reports)
  3. Set the Period Filter to "Yesterday" for daily reporting or "Last Week" for weekly reporting.
  4. Set the Activities Filter to which ever class (In the example I chose Anatomy & Physiology I [BIO-123-001])

  5. Next click "Schedule this Report" and name the report. (I named the report "BIO-123-001 Daily New Visitors Report")
  6. Then set the information in the Schedule Parameters screen like shown below:

  7. Click done and it will show up in your Scheduled Reports Section.  Repeat this process for each class that you would want the instructor to get the "New Visitors" report.

How to Set AccuTrack/AccuSQL 2014 to send daily/weekly visits reports to each instructor using
Activity Screen Options > Set Instructor Report Option.

  1. Go to the Sign-in Setup module under the System Admin screen and click Setup.
  2. Once there you need to click the Activity Screen Options in the top left navigation panel.
  3. In the Options section make sure that you at least have the "Show Instructors box" checked and click Set Report's Schedule.Forum03.png
  4. Then set the Schedule Parameters and be sure to set the Report Period to your liking (Hours are in military time).  Then click done!

  5. This automatically send the Visits by Instructor report to all the instructors that students select when signing into the system.

The first option may be the report that you want to send but you would have to set it up individually.  The second option shows all the instructor's students not just the new ones, but is easy to setup/configure since you only do it once.  Maybe another good suggestion for the Accu UserVoice would be "allow us to pick the report for the scheduled instructor reports and include the New Visitors or Visitor History report as an option."  I hope this information will help you in your endeavors!  Have a great day!
